Attendance Policy
Arena requires all appointments to be paid in full at the time of the consultation.
Arena applies the same cancellation policy to all clients, regardless of whether appointments are privately funded, bulk-billed through Medicare, funded by the Department of Veterans’ Affairs (DVA), WorkCover, or another third-party funding arrangement. Funding bodies do not pay cancellation, reschedule or non-attendance fees. These fees remain the responsibility of the client.
Rescheduling Appointments
If you need to change your appointment, Arena will endeavour to accommodate your request where possible. Appointments may be rescheduled once, at no additional cost, provided:
1) the new appointment is scheduled to occur within 7 business days of the original appointment date; and
2) a suitable appointment is available.
For example, if your original appointment is on a Tuesday, it may be rescheduled to any available appointment up to and including the following Monday.
If an appointment cannot be rescheduled within 7 business days due to client availability, or if no suitable appointment is available, the appointment will be treated as a cancellation and the cancellation fees below will apply.
Cancellation and Non-Attendance
If you need to cancel your appointment, please provide as much notice as possible. We understand that unforeseen circumstances can arise and reasonable exceptions may be made at the discretion of the practice.
Please note: The notice periods below are calculated using Arena’s business days and do not include weekends, public holidays or scheduled practice closures.
By signing this consent form, you acknowledge and agree to the following cancellation and non-attendance fees, calculated as a percentage of your practitioner’s fee:
- 0–24 business hours (less than 1 business day): 100% of your practitioner’s fee
- 24–48 business hours (1–2 business days): 50% of your practitioner’s fee
